Why can’t I add new Manual Journals to a prior year database?

KB119

Overview

Whenever a database is rolled over to the next financial year, the prior financial year's database has all permissions removed including administrators. This is done to help prevent users inadvertently make changes to prior years data.

Any user that had permissions to manage the User permissions prior to the rollover will be able to access the User permissions to give access back to users as required.

Process

  1. Go to System > Users > Permissions
  2. Select the User
  3. Click Edit - If edit is not available, then you likely didn’t have access to the User permissions in the LIVE database. You will need someone with administrator permissions to give you access.
  4. Click on the General Ledger group under Function – you can either select the entire group or select the individual Accounts functions
  5. At the bottom, tick the Add and Edit boxes to give yourself or the nominated user access to add new General ledger accounts
  6. Click Update and then close the Permissions form

If you still don't have permissions, go to User > Reload environment. If you still don't have permissions after the reload, please contact Accentis Support.

After making changes to a prior year’s database, ensure that you transfer the prior year balances into the LIVE database again. Details on how to transfer the prior years balances can be found How to perform journal adjustments in a prior year database.
